This Privacy Policy will explain how IceFloe ehf. ("Ice Floe") uses the personal data we collect from you when you use our website and other services.
At Ice Floe, personal protection is important to us and we take the utmost care when handling personal information. We work either as a responsible party or a processor according to the Personal Protection Act (90/2018). We are committed to providing transparent and fair processing of information.
In this privacy statement, we will inform you about us, why and how we use personal information and about your rights regarding your personal information held by us.
Unless otherwise defined in this Privacy Policy, terms used in this Privacy Policy have the same meanings as in our Terms of Service, accessible under Policies.
What data do we collect?
Log in information and data you provide as a User of Ice Floe
In order to use all services offered by Ice Floe, you are required to register. You may register using third party identity providers, such as Google. If you choose to do so, the identity providers will provide Ice Floe with your name, email address and profile picture (if available). Ice Floe will not, however, have access to your password. If you register directly with Ice Floe, we will require you to enter your name, email address and password, and you may also provide us with other information upon login, such as your profile picture. For both options, this data is required to create and administer a User account for you and to enable you to use the service.
If you decide to use services offered by Ice Floe that are subject to a charge, you are required to provide the name, address, email address, and phone number of your organization (or yours if not applicable) for payment reasons. This information is also processed by our payment processor. Credit card information is never available to Ice Floe, but is only transmitted to and stored with our payment processor.
Ice Floe is the data controller for the personal data, mentioned in this section, of our Users according to relevant data protection law.
Information within content owned by our Users at Ice Floe
Users can upload a variety of content, such as texts, images and videos to and via the Ice Floe Services, defined as "User-Generated Content" in our Terms of Service. This data may occasionally, but not usually, contain data that may be qualified as personal data. In this context, Ice Floe is only a processor of data on behalf of the User and not the data controller. Ice Floe will only process and store this data within the framework of the provision of the service, in the scope described in the Ice Floe Terms of Service and our Agreement with you or the entity with which you are connected to.

How will we use your data?
Ice Floe collects your personal data for the following reasons:

How do we store your data?
Your personal data will be stored on servers within the EU/EEA hosted by our subprocessor Google Cloud Platform - primarily in data centers in Belgium, but also at other Google data centers throughout the EU. Your data may be stored transiently or cached in any country in which Google or its agents maintain facilities.
Your data will be deleted from our systems and third-party processors once it is no longer required for the aforementioned purposes. We delete or anonymize logs within 90 days of collection. If you delete your user account, your personal data will be removed from our systems at the latest within 90 days, unless applicable legislation or legal process prevents us from doing so.
Data may in certain cases remain in the systems of our subprocessor Google Cloud Platform for as long as 180 days, as outlined in their terms of service, although it will generally be removed much sooner. This data is not available to us.
Marketing
Ice Floe would like to send you information about products and services of ours that we think you might like, as well as those of our partner companies.
If you have agreed to receive marketing, you may always opt out at a later date.
You have the right at any time to stop Ice Floe from contacting you for marketing purposes.

What are your data protection rights?
Ice Floe would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:
- The right to access - You have the right to request Ice Floe for copies of your personal data. We may charge you a small fee for this service.
- The right to rectification - You have the right to request that Ice Floe correct any information you believe is inaccurate. You also have the right to request Ice Floe to complete the information you believe is incomplete.
- The right to erasure - You have the right to request that Ice Floe erase your personal data, under certain conditions.
- The right to restrict processing - You have the right to request that Ice Floe restrict the processing of your personal data, under certain conditions.
- The right to object to processing - You have the right to object to Ice Floe’s processing of your personal data, under certain conditions.
- The right to data portability - You have the right to request that Ice Floe transfer the data that we have collected to another organization, or directly to you, under certain conditions.

In some cases, it is impossible for the company to comply with a request, for example if the company is obliged by law to store information. In cases where it is impossible for the company to fulfill your request, it will be rejected. This Privacy Policy is effective as of October 9, 2024 and will remain in effect except with respect to any changes in its provisions in the future, which will be in effect immediately after being posted on this page.
We reserve the right to update or change our Privacy Policy at any time and you should check this Privacy Policy periodically. Your continued use of the Service after we post any modifications to the Privacy Policy on this page will constitute your acknowledgment of the modifications and your consent to abide and be bound by the modified Privacy Policy.
